How to connect your Office 365 or Outlook Calendar to RescueTime

1. On the Calendar integration page, select "add a new calendar". Click on the Outlook Calendar box. 

2. You will be redirected to sign-in to your Office 365 account. Signing in will connect RescueTime to your Office 365 Calendar. 

3. Permissions for this integration

When you connect RescueTime to your Office 365 Calendar, you will be asked to grant the following permissions:

This permission is necessary to create the dedicated RescueTime Calendar that your calendar summaries will be posted to. 

💡NOTE: RescueTime will not add, edit or delete anything from your existing calendars.
(If these permissions are not accepted you will not be able to use the integration.)

Your Outlook calendar is now connected. 

4. Click on the gear icon > Settings > and make sure each calendar that you want connected to RescueTime is enabled under "Which calendars do you want to pull meetings from?"

5. Once created, click on "Open your Outlook Calendar" (see above) to view your integration in action. You will need to refresh your Office 365 Calendar in order for your RescueTime Calendar to populate on the bottom left of your screen under "My calendars". Once it appears you will need to check mark it to see the integration appear on your Office 365 Calendar. 

If you have time logged your calendar will now look like this:

How to use the Office 365/Outlook Calendar Integration

RescueTime creates a new calendar that contains daily summaries about how you spent your time. Each day, a new summary is created showing details of your logged time in RescueTime and your time spent in meetings.

Daily Use

✔️Open your Office 365 Calendar or Outlook Calendar.

💡  *Note-You will not be able to view the current day but can view days in the past.

✔️To get an expanded overview of your day select the timer and calendar emoji on the date you would like to view. Then select the expand arrow.

Troubleshooting Office 365/Outlook Calendar Integration

Can't find the RescueTime summaries on your Office 365 Calendar or Outlook Calendar? 

Don't stress! Please go to the calendar integration page, click on the gear icon, select Settings, and click on "Regenerate Summaries".

This will regenerate your summaries from the last 7 days. 

Please remember: RescueTime will not add, edit or delete anything from your existing calendars

RescueTime is not recognizing your meetings/non-meetings properly in your calendar events

This may happen because the email address you used to sign up for RescueTime does not match your Outlook email address. It may result in this scenario. 

  • RescueTime recognizes a non-meeting as a scheduled meeting because your Outlook email is considered an invitee in an event with only one participant. If you run into this issue, then you can use the #notameeting hashtag in the title or description of your calendar event for non-meetings.
  • For meetings that RescueTime is not acknowledging use the #meeting hashtag in the title or description of your calendar event.

A more drastic measure would be to update your RescueTime email address to match your Outlook email address.

How to disconnect your Office 365/Outlook Calendar from RescueTime

1. Removing your calendar requires removing it from two places in RescueTime.

  • Open your Calendar integration page > click on the gear icon > choose "Remove calendar"

  • Open your Calendar integration page > click on the gear icon > choose Settings > click "Remove Outlook Calendar"

2. Open your Office 365 Calendar or Outlook Calendar.

3. Hover over your RescueTime Calendar and select the ellipsis that appears.

4. Scroll to the middle and choose “Remove".

Your calendar is now fully disconnected from RescueTime.
